Invitation and notification problems

When an invitation does not arrive, does not appear, or was sent to the wrong address.

The invitation email never arrived

Ask the sender to check the address. This is the usual cause. One character wrong and the invitation goes nowhere.

Check spam or junk. Invitation emails are the most commonly filtered thing we send.

Ask them to resend it. The sender can resend from Settings → Collaborators for a project, or from the invite dialog for a workspace.

Try a different address. If a work address is being filtered, ask them to cancel and re-send to a personal one.

You signed up but the invitation is not there

The invitation is bound to one exact email address. If you signed up with a different one, you now have a separate account with nothing shared to it.

Two ways out:

  1. Sign out and sign in with the invited address, creating that account if you

have not already.

  1. Ask the sender to cancel the old invitation and send a new one to the address

you actually use.

You already have an account and still see nothing

  1. Check the context. A workspace invitation puts a new entry in the switcher

at the top of the sidebar, not in your Personal projects.

  1. Reload the page.
  2. Check the address, on the row at the bottom of the sidebar.
  3. Ask whether it was sent. It may still be sitting unsent, or have been

cancelled.

The sender sees the invitation as pending

Pending means it was sent and not yet accepted. Settings → Collaborators moves an invitation out of that list on its own the moment it is taken up, and the sender is notified that it was, so a row still sitting under Pending invitations has genuinely not been accepted. Start from the top of this page.

The invitation was sent to the wrong address

The sender should cancel it and send a new one. Cancelling frees the slot or seat it was holding immediately.

"Your workspace is using all its seats"

The workspace has no free seat. Pending invitations reserve one, so the fix is usually to cancel an unaccepted invitation, or to remove a member who has left. Otherwise the Owner adds seats. See Agency seats.

"Collaborator limit reached"

The owner is at their plan's limit: Free 1, Pro 5.

The limit counts unique people across all their personal projects, and pending invitations count. Cancel an unaccepted invitation, remove someone no longer involved, or upgrade. See Manage collaborators.

Notifications are not appearing

  • Check the switch for that kind of notification in

Settings → Notifications. Each one can be turned off individually.

  • Check the context. Workspace notifications concern that workspace.
  • Reload, especially on a tab that has been open a long time.
  • Confirm you are signed in as the right account.

Missing a task reminder? Check your timezone in Settings → Account: reminders are sent by your local clock, and an unset timezone falls back to UTC. A task that has been completed, deleted, archived or had its due date removed is deliberately not reminded about.

Missing a desktop notification? Browser notifications need your browser's permission as well as the switch. If your browser is blocking them the switch says so, and you have to allow notifications for VA To-Do in your browser settings before turning it back on.

Missing an email? Email is off by default. Tick Email under the notification's Delivery section, on Pro or Agency.
