Workspace projects

Projects owned by a workspace, and how members are given access.

A workspace project belongs to the workspace rather than to the person who created it. If that person leaves, the project stays.

Who can see a workspace project

  • Owners and Admins see every project in the workspace.
  • VA / Team Members see the projects they are assigned to.

Assignment is what gives a team member access. Being in the workspace is not enough on its own.

Create one

  1. Switch to the workspace using the switcher at the top of the sidebar.
  2. Select the + beside the workspace's Projects heading.
  3. Name it and press Enter.

Owners, Admins, and legacy Managers can create projects. See Workspace roles.

Assign people to a project

  1. Open Workspace from the workspace switcher menu (Manage workspace), or

open the project itself.

  1. Find the project row and select the member avatars, or Assign.
  2. Tick the members who should have access.
  3. Close the dialog.

Their avatars appear on the project row. They can now see it in their sidebar.

Only Owners and Admins can change assignment.

Folders

Workspace projects can be grouped into folders, one per client, or per department, or per status.

  1. Select the + beside the workspace Projects heading and choose to add a

folder, then name it.

  1. Drag projects onto the folder.

Folders collapse and expand, and a project can sit in one folder or none. Only Owners and Admins can create, rename, or delete a workspace folder, and everyone who can see a project sees which folder it is in. Full detail in Group projects into folders.

The Workspace page

Manage workspace in the switcher menu opens a page listing every project in the workspace with its task count and assigned members. It has:

  • A search box.
  • All / Joined / Unjoined tabs, so a team member can see at a glance what

they are on and what they are not.

  • Invite People, for Owners and Admins.

Time tracking

Workspace projects are the only projects hours can be recorded against, and only on the Agency plan. A timer can be started from the project itself or from a task inside it. See Track time.

Compared with personal projects

See Personal vs Workspace projects for the full comparison.
