Permission levels
What Full access, Tasks only, and View + complete each allow.
When you share a personal project you choose one of three levels. They are named for what the person can do rather than for a job title.
Full access
> Can change the project, its sections and every task.
For a partner or a trusted subcontractor who is running the project with you.
They can rename it, change its colour, add and remove sections, and add, edit, complete, and delete tasks.
They cannot share it with anyone else, and cannot delete the project. Those stay with you.
Tasks only
> Can add and edit tasks, but not change the project itself.
The default, and the right choice most of the time. For someone doing the work who does not need to reshape the project.
They can add, edit, complete, and delete tasks, and comment. They cannot rename the project, change its colour, or alter its sections.
View + complete
> Can see tasks and mark them complete.
For a client who wants visibility, or anyone who should follow progress without changing the plan.
They can see every task in the project, read comments, and tick tasks off. They cannot add tasks, edit them, or change anything about the project.
Side by side
| Full access | Tasks only | View + complete | |
|---|---|---|---|
| See tasks and comments | Yes | Yes | Yes |
| Mark a task complete | Yes | Yes | Yes |
| Add and edit tasks | Yes | Yes | No |

Change someone's level
- Go to Settings → Collaborators, or open the project and select Share.
- Find the person.
- Choose a different level.
It takes effect immediately, with no re-invitation needed.
Choosing a level
Start at Tasks only and move up if the person turns out to need more. Give a client View + complete unless they are genuinely doing work in the project.
Not the same as workspace roles
Workspace members get access through a role, Owner, Admin, or VA / Team Member, which applies across the workspace. The three levels here apply to one personal project at a time.
