Organize your materials

Add resumes, cover letters, portfolio pieces, certificates, links, and saved answers.

Career Vault opens on a grid of category cards. Select one to work inside it.

Resumes

Upload as many versions as you keep. A general one and a couple tailored to particular kinds of client is a good pattern.

  1. Open Career Vault.
  2. Select Resumes.
  3. Select Upload.
  4. Choose the file and give it a clear name.

Name them for the job they do: "Resume, executive assistant" beats "resume-final-v3-USE-THIS".

Download or delete any version from the same place.

Cover Letters

Cover letters are stored as text templates, not files, so you can copy one and adapt it in seconds.

  1. Select Cover Letters, then New Cover Letter.
  2. Give the template a name and write the standard letter.
  3. Optionally add short and long variants and comma-separated tags.
  4. Select Save.

Open the template to choose a version and fill placeholders such as {{client}}, {{role}}, {{experience}}, {{availability}}, and {{name}}. The preview shows the personalized text and its word and character counts. Copy personalized text becomes available when every placeholder is filled. A missing short or long variant uses the standard text.

Use the star to favorite a template. Search by text or tags, filter to Favorites, or use Duplicate from the preview to make another starting point. Personalizing a preview does not rewrite the saved template.

Portfolio

Select Add Portfolio Item or a practice-project starter. Choose Client work or Practice project, then describe the problem, your contribution, tools, and outcome or evidence. Practice starters cover inbox organization, a content calendar, and CRM cleanup. They provide a prompt; you supply the actual work.

Choose Written case study, External Link, or Uploaded File. A written case study needs no attachment. You can add a description, category, and skills. Practice projects keep their label in kits and on a public profile. Leave results blank until you have evidence, and avoid client details you do not have permission to share.

Portfolio items are what a Career Profile leads with, so it is worth writing the descriptions properly rather than uploading a bare screenshot.

Certificates

Course completions and credentials. Upload the certificate and name it for the skill it proves.

Intro Video

A short introduction. Clients respond to a face and a voice, and one good video saves repeating yourself on every first call.

You can keep several videos, one per audience if you like. Select the star on a video to make it Primary: that is the one your Career Profile shows.

Your presence elsewhere: LinkedIn, Upwork, OnlineJobs.ph, a personal website, a portfolio site, GitHub, or anything else.

  1. Select Links.
  2. Select Add link.
  3. Pick the platform, or choose Other and give the link a display name.
  4. Paste the URL.

Known platforms show their own logo in the list, and the link is named after the platform automatically.

Saved Answers

The reusable part of every application. "Describe your experience with...", "What are your rates?", "What is your availability?".

  1. Select Saved Answers, then New Saved Answer, or choose a common question.
  2. Write the question and standard answer. Add optional short and long versions.
  3. Add a category and select Save.
  4. Open the answer, fill any placeholders, and copy the personalized version.

Saved answers support the same favorites, search, variants, and duplication as cover letters. Include the relevant answers in an application kit to personalize them together.

Other Documents

Anything that does not fit the categories above: references, contract templates, tax documents you want to hand.

Search and unfinished drafts

Use Search Career Vault on the dashboard to find a file, sample, certificate, link, template, kit, or application. Selecting a result focuses and highlights that item. Letters and saved answers open their preview.

Text drafts in the profile, contact settings, templates, portfolio, kits, and applications are recovered in the same browser tab after a reload or return to that editor. A restored-draft message tells you what was recovered. Save to keep it in your account, or use Cancel and confirm discard in an editor. The profile and contact settings also offer Discard changes.

Draft recovery keeps one unfinished draft per editor type in that tab. It is not a cloud save or a backup across devices. Logging out clears these drafts. Files are not cached; reselect an unfinished attachment after reloading.

Skills, tools, and industries

The profile form offers suggestions as you type for skills, tools, and industries, so the same skill is spelled the same way everywhere. Free text is always allowed, so anything missing from the list can still be added.
