Projects overview

What a project is, what it holds, and how projects are organized.

A project is a container for related work. Most VAs use one project per client, but nothing forces that, a project can be a product launch, an internal process, or your own admin.

What a project holds

  • Tasks, including recurring ones
  • Sections, to group tasks within the project
  • People, either collaborators or assigned workspace members
  • Comments and activity on its tasks
  • Tracked time, if it is a workspace project on an Agency plan

Two kinds of project

Personal projects belong to you. Workspace projects belong to a workspace. The difference matters, and it is covered in Personal vs Workspace projects.

Organizing the sidebar

Reorder, drag a project up or down.

Favourites, pin a project and it moves to a Favourites group at the top. Useful when you have more projects than fit on screen.

Folders, group projects into folders. Select the + beside the Projects heading and choose Folder, then drag projects in. Folders collapse, so thirty projects stay readable. Folders on your own projects need Pro or Agency; inside a workspace they are part of the Agency plan. See Folders.

Colour, give each project a colour so its tasks are identifiable in Inbox, Today, and Upcoming, where several projects are mixed together.

Opening a project

Select it in the sidebar. The project page shows its tasks in your chosen layout with the project name, its people, and its actions across the top.

The Free limit counts projects that exist, not projects with work in them. Delete one you no longer need to free a slot.
