Manage and remove collaborators

See everyone you share with

Go to Settings → Collaborators. The page shows:

• Everyone with access, the project it is for, and their permission level
• Every invitation still outstanding
• Your usage against your plan's limit

The page keeps itself current while you have it open. When someone accepts, they move from Pending invitations to Active collaborators without a reload, and you get a notification saying so.

The project's Share panel shows the same for that one project.

Change a permission level

1. Go to Settings → Collaborators.
2. Find the person.
3. Choose a different level.

Effective immediately. See Permission levels.

Remove a collaborator

1. Go to Settings → Collaborators.
2. Find the person.
3. Select Remove.
4. Confirm.

The project disappears from their sidebar at once. Anything they created (tasks, comments) stays in your project.

If they had access to several of your projects, removing them from one leaves the others in place. Remove them from each project to revoke access completely.

Cancel a pending invitation

Find it in the list and select Cancel. The slot is freed immediately, and the emailed link stops working.

Resend an invitation

Select Resend. Worth trying once before assuming the address is wrong. See Invitation problems.

Free up a slot

The limit counts unique people across all your personal projects, and pending invitations count too. To free a slot:

• Cancel an invitation that was never accepted
• Remove someone from every project you shared with them
• Upgrade: Pro allows

If you downgrade

Downgrading to a plan with a smaller limit does not silently cut people off. Existing access is left alone, but you cannot add anyone new until you are back under the limit. See What happens after a downgrade.

Leaving a project shared with you

If someone shared a project with you and you no longer want it, open its … menu in the sidebar and select Leave project. It leaves your sidebar and frees the owner's slot. They can invite you again later.
