Recurring tasks

Set work to repeat on a schedule, and manage the series afterwards.

A recurring task is a schedule rather than a single task. VA To-Do creates each occurrence for you when it is due, and each one behaves like any other task: you can complete it, comment on it, assign it, and track time against it.

Available on every plan.

Create a recurring task

  1. Select Add task at the top of the sidebar.
  2. Enter the title and choose the project.
  3. Open Repeat and choose a schedule.
  4. For Custom or More options, finish the interval, weekdays and end

condition, then select Done to apply the schedule.

  1. Select Add task.

To make an existing task repeat, open it, set Repeat the same way, then select Make recurring.

Schedules you can choose

Custom builds the rest:

  • Every n days, weeks, months, or years, "every 2 weeks"
  • Specific weekdays, "Monday, Wednesday, Friday"
  • A day of the month, "the 15th"
  • A weekday by position, "the first Friday of every month", "the last Monday"

Custom choices stay in a draft until you select Done. Closing the picker or pressing Escape discards that draft. When editing a series, Done saves all of the custom fields together. Presets such as Daily still apply with one click.

When the series ends

  • Never: the default
  • On a date: stops after that day
  • After a number of times: stops after that many occurrences

When the next occurrence appears

Nothing is created in advance. Each occurrence is generated when its date arrives, so your list is never filled with months of future copies.

The Calendar layout still shows you what is coming: upcoming occurrences appear on their future dates as lighter, read-only preview chips marked with the repeat icon. The preview becomes a real task on the day.

Two scheduling modes decide what "next" means:

  • Scheduled (the default), the next date follows the calendar even if you

finished late. A Monday weekly task completed on Wednesday is still due the following Monday.

  • Completion: the next date counts forward from the day you completed it. A

task set to repeat every 30 days in this mode next appears 30 days after you actually finished, not 30 days after it was due.

Use Completion for things like "service the equipment every 90 days", where the interval matters more than the calendar.

If occurrences were missed

If a series was due while you were away, its missed occurrence setting decides what you come back to:

  • Latest (the default), a single catch-up task
  • All: every missed date, as separate tasks
  • Skip: nothing from the past, future only

Latest suits most work: you want to know the weekly report is outstanding, not to be handed six of them.

Dates that do not exist

A monthly task on the 31st runs on the last day of shorter months, 28 or 29 February, 30 April. A yearly task on 29 February runs on the 28th in non-leap years. Months are never skipped.

Timezones

Every schedule is anchored to a timezone, defaulting to the one your browser reports when you create it. Occurrences are converted per date, so daylight saving shifts do not move your tasks.

Manage a series

The Recurring view in the sidebar lists your schedules rather than their occurrences. From there you can:

  • Pause a series, and Resume it later
  • Skip just the next occurrence
  • End the series, keeping completed history
  • Edit the schedule
  • Reassign it to a different member, inside a workspace

Editing or deleting one occurrence vs the whole series

When you change or delete a task that is part of a series, you are asked what the change should cover:

  • This task only: the single occurrence, leaving the schedule alone
  • This and future: updates the schedule from here on
  • Entire series: updates or removes the schedule and its open occurrences

Who can manage a series

On a personal project, the owner and anyone with Full access.

In a workspace, Owners, Admins, and anyone who can edit the project. Removing a member from the workspace does not delete series assigned to them, an Owner or Admin reassigns them.
